“Clean the hood” is an imprecise instruction. It can refer to an accessible exterior surface, a removable component or an exhaust system that requires specialist work. Define the scope before choosing a product or assigning the task.
Identify the component
Use the equipment documentation to name the part being cleaned. Record its material, permitted access and approved cleaning method. A photo with the task area identified can help staff distinguish included surfaces from excluded components.
Do not assume that a visible, greasy part can be removed or accessed by the kitchen team. Internal ducts, fans, inaccessible areas and other specialist work need an appropriate provider and the applicable requirements for that system.
Keep routine and specialist records separate
Maintain one record for the routine tasks assigned to trained staff and another for specialist inspection or cleaning. Each should identify the responsible person or company and the next action. Completing an exterior wipe must not be recorded as cleaning the entire exhaust system.
A scope sheet can include:
- Equipment identity and exact component.
- Included surfaces and explicit exclusions.
- Approved access and preparation procedure.
- Material compatibility and cleaning product.
- Removal or rinsing requirements.
- Inspection and handover responsibility.
Plan the surrounding area
Coordinate the task with cooking activity and the site’s safety procedures. Identify nearby food, packaging, controls and surfaces that require protection. Consider where liquid may travel and how the employee will work without improvising access.
If the necessary access or instruction is missing, postpone the task for proper planning. A stronger cleaner does not solve an access or scope problem.
