Onboarding a New Cleaning-Product Supplier

Create a supplier onboarding record covering products, documents, ordering, delivery and support. Keep the product transition separate from the commercial account setup.

Supplier onboarding should leave the operation with a usable working arrangement. Opening an account is only one part of that handover. The team also needs to know what products are approved, how they are ordered and who handles a problem.

Confirm the approved product list

Record each product’s full name, intended task and container size. Link it to the relevant equipment or surface procedure. If a product is changing, use a separate transition plan with the responsible service provider before it enters routine use.

Do not assume a commercial agreement establishes technical suitability. The people responsible for the application still need the current instructions and any required setup confirmation.

Create the operating contacts

Identify the ordering contact, delivery contact and product or service support route. Specify the information needed when reporting a problem, such as order reference, product identity or machine model.

Keep the contacts in a shared location accessible to authorised staff. A relationship held only in one employee’s phone becomes fragile when that person is away.

Complete the document handover

Request the current label or technical instructions and safety data sheets for the supplied products. Confirm the method for obtaining updates. Store the documents so employees can identify the right product rather than searching through a mixed folder of old files.

An onboarding checklist can include:

  • Approved product and application record.
  • Ordering units and package sizes.
  • Delivery arrangements and lead time.
  • Current documents received.
  • Product-transition responsibilities.
  • Support and discrepancy contacts.
  • First review date.

Review the first deliveries and operating period

Use the delivery checklist to confirm that the supplied items match the agreement. Ask the operating team whether instructions, stock availability and support are working as expected.
