Preparing for a Commercial Dishwasher Service Call

Give a service provider a concise equipment history, clear symptoms and useful photographs so the first conversation starts with the right information.

A useful service request describes what the machine is doing, when the problem started and how the operation is affected. It does not require you to diagnose the fault. Clear observations help the provider decide what information or attendance is needed.

Start with the machine make, model, serial number and location. Photograph the identification plate if it is safely accessible without removing covers or reaching into equipment. Include your contact details and the hours when an authorised site representative is available.

Describe the symptom precisely

Separate machine behaviour from the condition of the ware. “The display shows this exact message” and “glasses on the upper rack have visible spots” are different observations. Report both if relevant, including whether the issue occurs consistently or only during certain periods.

Write down the first observed occurrence and any recent changes: a product delivery, maintenance visit, new rack type, altered workload or water interruption. A change is context, not proof of the cause.

Gather existing records

Have the operating manual, previous service notes and current detergent and rinse-additive names available. Include the checks already completed under the machine's normal operator procedure. Do not repeat a risky action to recreate a fault for a photograph.

If the machine cannot be used under the site's procedures, communicate that clearly and follow the established operating restriction. This guide is a preparation checklist, not instructions to reset controls, bypass a fault or open equipment.

Agree the next step

Ask what information the provider needs, what attendance is proposed and what access arrangements apply. Confirm how costs, approval for additional work and the return-to-service decision will be handled before work proceeds.

Keep one service reference for the conversation so different shifts can find the same information. After attendance, retain the findings and any revised instructions with the machine record.
