ASPIN CLEANING GUIDES / Equipment & Service

Repair or Replace? Organising the Dishwasher Decision

Compare repair and replacement using documented condition, downtime, operating needs and complete proposals rather than purchase price alone.

A repair-or-replace decision is easier when the business separates equipment facts from assumptions. Begin with a qualified assessment of the current machine and a written description of the proposed repair. Age alone does not establish whether a particular repair is worthwhile.

Create two columns: continue with the current machine after the proposed work, and replace it with a specified alternative. Use the same planning period and workload assumptions for both.

Build a complete cost picture

For repair, record the proposed work, exclusions, expected downtime and any uncertainty identified by the provider. For replacement, include delivery, installation, removal, site work, accessories, training and the operating transition where applicable.

Keep confirmed prices separate from estimates and unknowns. Do not treat an omitted item as free. Ask each supplier to clarify what the proposal includes and which costs depend on a site assessment.

Compare operational fit

Consider the ware types, peak demand, space, staffing and maintenance access. A machine with a higher stated throughput may not improve the operation if the loading, drying or storage workflow remains the limiting factor.

Review service history and the impact of past interruptions. Use actual records where available. Avoid assigning a precise future failure rate without a credible basis; instead, show how the decision changes under a few clearly labelled scenarios.

Record the decision and assumptions

State which option was selected, why it meets the business's needs and which conditions still require confirmation. A useful decision record might note that installation feasibility or service coverage must be resolved before an order is authorised.

This worksheet organises an operational discussion; it is not a quotation, engineering assessment or financing recommendation. Contract and payment decisions need their own appropriate review.

Prepare the equipment details using the service-call checklist. If a replacement is being considered, use the installation site brief to reduce missing information. Aspin can discuss current support and equipment options for your specific application.
