Standardising Cleaning Across Multiple Locations

Create common document structures and reporting rules while allowing each location's equipment, surfaces and operating constraints to be assessed properly.

Multi-site consistency does not mean every building should use an identical cleaning method. Different equipment, finishes, water conditions and workloads can require different approved arrangements. Standardise the decision process and document structure before standardising the product list.

Begin with an inventory from each location. Record the tasks, surfaces, equipment, current products and responsible contacts. Mark unknown information for assessment instead of forcing it into the nearest category.

Define the common core

Use shared formats for procedures, training records, stock logs and exception reporting. Agree consistent product names, units and task identifiers so reports can be compared without translation between local shorthand.

Set a common approval route for new products and method changes. That helps prevent a local purchase from becoming an unreviewed instruction for the whole group.

Document justified local differences

Maintain a site appendix showing which approved method applies to each local task and why any exception exists. Equipment-specific instructions should remain tied to the exact model, not replaced by a generic group checklist.

Assign an owner and review date to exceptions. A temporary arrangement should not quietly become permanent simply because no one remembered to revisit it.

Compare performance with context

Use consistent definitions for rework, consumption and missed tasks, but include the relevant workload and site conditions. A larger location using more product is not automatically less efficient.

Pilot a proposed change at a suitable site before broader rollout. Check practicality with the people performing the work and identify which findings can reasonably transfer to other locations.

Keep local managers involved in the final method approval and communication. Central purchasing can simplify supply, but it cannot establish surface compatibility or equipment suitability without the necessary information.
