A detergent change is an equipment and training handover, not simply a replacement purchase. Plan the transition before the existing supply runs out so the people responsible for dispensing, ordering and daily operation can coordinate.
Gather the current setup
Record the machine make and model, present detergent, rinse additive and any separate sanitizing process. Keep the current labels, safety data sheets and service contact details accessible. Photograph product identification without removing or opening equipment connections.
Tell the incoming supplier why the change is being considered. Cost, supply reliability and wash performance are different questions. A clear reason helps define what the evaluation should demonstrate.
Agree the transition procedure
Ask the responsible service provider to specify how the installed system should be prepared and connected. Do not mix products, top up one product with another or improvise a flushing method. The procedure depends on the products and equipment involved.
Confirm who will perform the work, when the station can be unavailable and how staff will know it is ready for use. Include the route for handling remaining stock according to the supplier’s instructions and local requirements.
Set a simple review plan
Choose a representative operating period and record the same observations before and after the change. Track rack mix, visible results, rewash and any service interventions. Avoid using container consumption alone as a measure of performance without understanding the dispensing setup and workload.
Provide staff with a short handover:
- New product name and intended purpose.
- Location of the current instructions and SDS.
- Authorised person for container changes.
- Symptoms that should be reported immediately.
- Date and owner of the follow-up review.
Close the loop with purchasing
Update the ordering description and reorder point once the transition is confirmed. Remove outdated product instructions from active use while retaining records needed for the change history. Clear records reduce the chance of receiving or connecting the previous product by mistake.
