Closing work is complete only when the next team can understand the machine’s condition. A handover should distinguish the operator’s completed tasks from anything that still requires attention. It should never imply that an unresolved equipment issue disappeared when the shift ended.
Follow the installed machine’s procedure
Use the manufacturer’s shutdown and cleaning instructions for the specific model. Assign only the actions employees have been trained and authorised to perform. Internal repairs, electrical access and other restricted work belong to the appropriate qualified person.
Place the current procedure near the work area or provide a clearly identified document location. If several machines are present, label the records by equipment identity so staff cannot sign off the wrong unit accidentally.
Record what the next shift needs
Keep the handover focused on decisions at opening:
- Was the prescribed operator cleaning and shutdown completed?
- Were racks and tools returned to the correct location?
- Are detergent or rinse-additive supplies approaching the reorder point?
- Did any warning, unusual result or service interruption occur?
- Who has been notified about unresolved work?
Use a brief description instead of a vague “machine checked.” The next employee needs to know whether the item was inspected, cleaned, reported or repaired.
Keep a service issue open until it is resolved
Consider a machine that repeatedly displays a warning near the end of service. The closing note should include the wording or code, when it occurred and the supervisor’s instruction for the next shift. A blank opening sheet must not overwrite that history.
Assign an owner to each unresolved item and keep the record accessible. When a technician attends, add the service reference and any operator instructions supplied afterwards. Avoid interpreting an absence of symptoms as proof that a repair was completed.
Review recurring omissions
If staff repeatedly miss the same closing task, check whether the task has enough time, tools and a clear owner. The solution may be a workflow change rather than another reminder.
