Organising Preventive Maintenance for a Dishwasher

Build a maintenance calendar from the equipment instructions and service advice, with a clear distinction between operator care and specialist work.

Preventive maintenance starts with the exact machine's requirements. A generic online checklist cannot set the correct service interval for every commercial dishwasher, water supply and workload. Gather the manual, service agreement and provider recommendations before creating the calendar.

Record the equipment identity and where it operates. If several machines are managed together, keep their tasks and histories separate even when they look similar.

Separate three types of work

First, list normal operator care from the equipment instructions. Second, identify scheduled work assigned to the qualified service provider. Third, define how unexpected observations become service requests. Mixing these categories can cause staff either to miss normal care or attempt work outside their role.

Each calendar entry should identify the source instruction, responsible role, planned window and evidence of completion. Do not invent maintenance frequencies merely to fill every month of a spreadsheet.

Plan for access and downtime

Agree a service window that reflects the kitchen's operating pattern. Include access to the machine, an available site contact and the alternative arrangements needed while it is unavailable.

Keep a list of observations for the service visit, but do not hold a potentially significant fault until the next planned appointment. Use the established escalation process when equipment condition changes.

Review the service record

After each visit, file the findings, completed work, outstanding recommendations and any operator instructions that changed. Confirm who is responsible for approving and arranging follow-up work.

Look for patterns across the records: repeated access problems, the same reported symptom, or visits delayed because no authorised contact was present. Those patterns may require an operational change as much as another calendar reminder.

Track planned attendance and actual completion separately. A booked appointment is not evidence that maintenance occurred. Likewise, a routine cleaning tick should not be used as a substitute for a service record.
