Organising Microfibre Cloths by Task

Create a practical cloth system with clear task assignments, collection points and care instructions. Avoid relying on colour alone to communicate where a cloth belongs.

A cloth system works when employees can identify the right cloth, use it for the assigned task and return it through a clear care process. Colour can help, but the site needs a written key and consistent handling rules behind it.

Define the assignments

Group tasks according to the operation’s hygiene procedures. Keep incompatible areas and uses separate, and identify any specialist tasks with their own requirements. Do not assume a colour convention is universal; another employer may have used the same colour differently.

Display the site’s key where cloths are issued and collected. Use words and symbols alongside colour so the instruction remains understandable under different lighting and for employees who cannot distinguish particular colours easily.

Check product and cloth compatibility

Follow the cloth manufacturer’s care and use instructions and the cleaning product label. A cloth’s material, finish or intended use can affect what it is suitable for. Do not treat one cloth type as appropriate for every chemical and surface.

Record which tools belong to each approved cleaning task. That makes a replacement purchasing decision easier and prevents an unfamiliar cloth from being introduced without review.

Make collection and reissue clear

Identify the route for used cloths and the process for preparing them for reuse under the site’s procedures. Keep ready-to-use supplies distinct from items awaiting care. Employees should not have to judge a cloth’s status from appearance alone.

Include these checks in the system:

  • Task identification at issue.
  • Defined point for taking a cloth out of use.
  • Labelled collection location.
  • Manufacturer’s laundering or care instructions.
  • Inspection and reissue responsibility.

Monitor practical problems

Ask staff where shortages or mix-ups occur. If the correct cloth is routinely unavailable during a rush, fix the supply and collection arrangement rather than expecting the colour key to solve the problem.

Connect the cloth assignments to the routine multi-surface cleaning plan. Keep product safety information accessible, and review the system whenever the site changes its cloth supplier, cleaning products or task boundaries.
