Asking a Supplier a Useful Product-Safety Question

Prepare a supplier enquiry with the exact product, application and document reference. Ask a focused question and keep the answer with the workplace’s task record.

A useful supplier question identifies the product and the decision the workplace needs to make. “Is this safe?” is too broad to describe the surface, equipment, handling arrangement and operating conditions involved.

State the product identity

Use the full name from the container and include the product code or batch information when relevant. Refer to the date and section of the document that raised the question. A supplier can respond more effectively when it knows which version you are reading.

Do not send only a cropped photograph of a coloured container. Include readable identification and enough context to distinguish the product from similar packaging.

Describe the intended application

Identify the surface material or equipment, the soil or task and the proposed method. Explain what the workplace procedure currently says and which point is unclear. Keep the question within the supplier’s role; the workplace may also need advice from the equipment manufacturer or safety lead.

For example: “Our equipment manual identifies this panel as a coated material. Does the current product instruction permit use on that finish, and what information do you need to confirm it?” is more actionable than “Can we use it on metal?”

Ask for a usable reference

Request the current instruction, document or written clarification relevant to the answer. Avoid turning an informal conversation into a universal rule for unrelated tasks. Record any conditions or limitations with the advice.

Your enquiry record can include:

  • Product and document version.
  • Surface or equipment identity.
  • Intended task and exact question.
  • Supplier response and date.
  • Other approval needed.
  • Workplace instruction updated by.

Close the loop locally

Have the responsible person decide how the answer affects the task and communicate any change to employees. A reply stored only in a purchaser’s inbox will not help the next shift.
